# AI call answering service or voicemail?

Voicemail lets a caller leave a message. An AI receptionist can conduct a configured conversation and collect caller information. Choose based on the information you need, your service limits and the follow-up you can reliably provide.

## What each option is useful for

Voicemail can be appropriate when a simple message is enough and your team can call back later. An AI receptionist is useful when you want callers to explain why they called and provide details through a guided conversation. Kandrex publishes AI answering packages with caller-detail capture and call summaries when the service is active. It should not be described as a human answering service.

Neither option replaces follow-up. Decide who reads messages or leads, when they respond and how they recognize urgent requests. If nobody reviews the captured information, a better greeting alone will not turn a missed call into a resolved customer enquiry. Set a realistic response expectation in your instructions.

## When a human answering service is the better fit

A human receptionist may be a better choice when callers need sensitive judgment, complex explanations or personal reassurance. Compare the provider’s coverage hours, training, escalation process and billing unit. A service billed per answered call cannot be compared directly with an AI-minute allowance without estimating call count and duration.

Voicemail fits a simple leave-a-message workflow if your team reliably calls back. AI answering fits configured questions and routine enquiry capture when callers benefit from a conversation. Human answering fits work that requires a person’s judgment. Kandrex’s published AI receptionist is not a staffed human answering service, and human backup should not be assumed to be included.

For example, 100 calls averaging three minutes create 300 minutes of answering demand. That workload can exceed a smaller minute package even though 100 sounds like a low call count. Check which calls count, additional usage, number costs, recording and follow-up responsibilities before comparing totals. This is a planning example, not a provider quote.

## Prepare an answering script that stays within your business facts

Provide the business name, a clear greeting, the information you want collected and the answers the receptionist may give. Useful fields include the caller name, callback number, reason for calling and preferred follow-up time. Give accurate opening hours and tell the receptionist what to do when an answer is unknown. Avoid instructions that promise availability, appointments or prices your business has not confirmed.

For example, a service business might ask the caller to describe the requested work and leave a callback number. This is an illustrative script idea, not a claim that an appointment was booked. Test any special workflow with the Kandrex team before relying on it. A script asking for sensitive information should be reviewed against your privacy and data-handling obligations.

## Test a phone answering service with realistic scenarios

Call your activated business number from a second number you control. Try a normal enquiry, a caller who changes their mind and a question outside the provided instructions. Verify the greeting, the collected details and the summary shown in the dashboard. Check that your team can tell which information was actually supplied by the caller and which needs confirmation.

End each test deliberately and verify that the call has ended before starting another. Silence is not proof of a disconnected call. If a connection appears stuck, use the supported hangup workflow and report the exact time and number to the team. Do not assume that an API-key change or closing a browser tab settles every carrier connection.

## Budget for AI answering separately from ordinary voice

Kandrex AI packages and ordinary voice packages have separate allowances. Optional recording is separate again. Estimate the number of answering calls and their average duration, then ask how the quote accounts for the business number, included AI minutes and any approved additional usage. The current published packages can be compared on the AI receptionist and pricing pages.

A voice call that reaches another business’s voicemail can still be an answered call. A call log labelled Connected does not establish that a person spoke. Similarly, a rejected recording request does not mean that an active voice call was ended. Review call completion and usage separately from whether a recording was successfully started.

## Know the limits before choosing AI answering

AI answering should stay within the business instructions you supply and the service you have activated. Do not present it as guaranteed human-level accuracy or emergency assistance. If you need live human agents, specific integrations or guaranteed transfers, confirm those requirements explicitly rather than assuming they are part of a published AI package.

Keep the script current when business details change. Review captured enquiries for accuracy and correct recurring misunderstandings. Make sure your privacy information explains how caller data is handled, and obtain any consent required for recording. Kandrex account approval and acceptable-use requirements still apply to the configured workflow.
